Three ways to take paper and manual work out of your processes

A legal obligation, an in-house product and a platform from SAP – the label at the top of each card tells you which.

Mandatory in Germany

E-invoicing

Companies in Germany have had to be able to receive e-invoices since 1 January 2025. Issuing them becomes mandatory from 2027 or 2028 – as XRechnung or ZUGFeRD, not as a PDF.

Document management B1ECM

B1ECM connects SAP Business One with the ELO document management system. Documents are archived when printed, scans find their transaction by barcode, incoming invoices run through an approval workflow.

Platform from SAP SE

SAP BTP

The Business Technology Platform hosts applications, automations and integrations that are better placed next to SAP Business One than inside it. The data comes through the Service Layer.

Where the topics meet

From incoming invoice to archive: how the topics fit together

The connection is clearest with the incoming invoice. The legal obligation sets the format, document management the route through the company, SAP Business One the posting.

Receiving is not processing

An inbox is enough to accept e-invoices. Checking, posting and retention in the original format are not covered by that. Deadlines and formats are on the e-invoicing page.

One archive per document

Whatever B1ECM files stays visible on the SAP document – the invoice as well as the signed delivery note. How filing, checking and approval work is shown on the document management B1ECM page.

When a process needs more

A dedicated app for field staff or a connection to other systems does not always belong in the ERP. When the SAP platform is the right place is explained under SAP BTP.

Frequently asked questions

Questions on digitalisation around SAP Business One

Where should we start?

With the topic that has a deadline. Companies in Germany already have to be able to receive e-invoices; issuing follows from 2027 or 2028. Whether incoming invoices and archiving are tackled at the same time, we decide with you in the requirements analysis.

Do we need a document management system for e-invoicing?

Not to accept them – an inbox is enough. Anyone who wants to check, approve and retain incoming invoices in their original format needs a defined process for it. At init consulting AG, this is done by B1ECM with ELO.

Does B1ECM require SAP BTP?

No. B1ECM runs as an add-on in the SAP Business One client and as a service on the ELO server. The platform is optional for SAP Business One and is only used for projects that should run outside the ERP.

Does this also work in the SAP Business One web client?

Yes, with prerequisites. B1ECM supports the web client from feature pack 2508 of SAP Business One 10; applications on SAP BTP appear there as a URL mashup. Details are on the two topic pages.

What does digitalisation with SAP Business One cost?

The deciding factors are the topics you choose, the number of users and the effort for setup and training. The project calculation gives you a first figure; guide prices for SAP Business One itself are on the prices and costs page.

Who supports us after implementation?

The same team that implemented it. For B1ECM, you are also supported by the manufacturer itself. Ticket, hotline, remote maintenance and version upgrades are described on the Support page.
